Code of Conduct

It is important that all persons in the facility feels welcome. The code of conduct embodies the values of SSWC and Keyano College, aiming to create a comfortable environment for all in our shared space. By being a member, participant, or guest, you agree to adhere to this code, which is based on the principles of care, honesty, responsibility, respect, and health.

Facility Rules

  • We are a scent-sensitive facility. Limit use of strong perfumes and cologne. Use personal care products and deodorant to mask natural body odor. 
  • A valid wristband must be worn and visible at all times in all fitness spaces.
  • No food is permitted outside of the spectator seating area.
  • All beverages must be in closed containers.
  • The use of drugs, outside alcohol, tobacco, and vapes is strictly prohibited in the facility.
  • Persons found under the influence of drugs or outside alcohol will be removed from the facility.
  • No photography or videography is permitted in fitness spaces.
  • Cell phone usage within the facility must be conducted in a manner that is respected to others and does not cause disruption.
  • Shooting of pucks, balls, or other objects in common areas is prohibited.
  • No threatening, harassment, fighting, shoving, or name-calling is permitted. Persons displaying aggressive behaviour will be immediately removed from the facility.
  • Children under 8 must be within arm's reach of a person over 16.
  • Use courteous language when speaking with other facility users and staff. 
  • Personal belongings such as jackets or backpacks must be placed in locker rooms or in cubbies outside of the Fitness Centre.
  • Refrain from changing in public spaces.
  • Be prepared to leave the facility at the posted closing times. The change rooms and dressing rooms do not remain open after closing. 
  • Keyano College is not responsible for any stolen items.
  • No loitering.
Fitness Centre Rules
  •  Refrain from disruptive or offensive behaviour.
  • Do not drop, slam, or bang weights. Controlled drops are ONLY permitted in the heavy lifting area when using bumper plates.
  • Members must provide ID to sign out equipment.
  • Borrowed equipment must stay within the facility and be returned to the appropriate lending desk after use.
  • A 30-minute limit on cardio equipment is enforced during peak times.
  • Do not leave unattended equipment in walking areas.
  • Return all weights, plates, and accessories to their designated places.
  • Unsafe or improper use of equipment is not permitted.
  • Wipe off all equipment after use with spray bottles and clothes provided.
  • Do no crowd or over-monopolize equipment.
  • Fitness Centre users must wear appropriate workout attire - denim and leather are not permitted.
  • Closed-toed, clean athletic shoes must be worn at all times in all fitness spaces.
  • Teens aged 13-15 must take the Teen Weight Trainers course before they can access the Fitness Centre equipment.
  • Phone and video calls are not permitted in fitness spaces. The use of cell phones, Personal Digital Assistants, cameras, and other recording devices is restricted in fitness spaces.
  • Do not move mirrors.
Track Rules
  • Check track direction before use.
  • Inside track lanes = Slow; outside track lanes = fast and passing lanes.
  • Look before crossing lanes to avoid collisions.
  • No outdoor footwear is permitted on the track.
  • Children under 8 must be within arm's reach of someone 16 or older when using the track.
  • Children under 5 must be in a stroller or buggy while using the track.
  • No spectating on the track.

Policies and FAQ's

Booking and Events

Can we come in early to set-up for our birthday party booking?

You’re welcome to arrive 30 minutes early for setup, and you’ll have an additional 30 minutes after the party for cleanup.

 

Please be aware that staff may also be setting up and cleaning up during this time.

Can we bring in our own equipment?
Personal or third-party equipment rentals (e.g., bouncy castles, nerf obstacle courses, etc.) are not permitted. All third-party services (e.g., face painting, DJs) require approval from the Syncrude Sport and Wellness team at least one week prior to the event.

 

Unapproved items on-site may result in cancellation.

Can we bring balloons?
Glitter/confetti (including confetti balloons) or latex balloons are not permitted in our facility. Non-latex balloons are acceptable. 
Can we bring food?
Outside food is permitted – please follow AHS food safety guidelines.
Can we wear our outdoor shoes in the Field Houses?
We encourage guests to bring indoor footwear to wear in our Field Houses. Out door footwear can be stored on the outskirts of the Field Houses.
 Are there accessible washrooms?
Washrooms are located along the hallway near Field House #3.
How do we pay for parking?
Parking passes are available via Honk Mobile app. You can scan the QR code posted at the entrance to pay for your parking without downloading the app.
Waiver and Hold Harmless Agreement 
The Waiver and Hold Harmless Agreement form is required to be completed by the parents of the children that will be playing in our bouncy castles. You can fill out a waiver form when you come in for the birthday party you are attending or fill it out prior by clicking here.
Cancellation Policy

Payment: To secure your preferred date and time, full payment is required at the time of booking. Payments can be made over the phone with a credit card or in person at our facility with Guest Services.

 

Refunds: Our birthday party bookings are fully non-refundable within 7 days of the event. If shorter notice is given, the renter is responsible for 100% of the contract fee.

Fitness Centre

 Equipment Lending Policy
Members can sign out equipment, such as kettle bells, ab rollers, TRX and more. Please inquire at the Fitness Desk or Guest Services Desk. 
  • You must leave a piece of identification, which will be given back to you once the equipment is returned. Only a driver's license or membership ID will be accepted as valid identification. 

  • Borrowed equipment must stay within the Facility and, returned to the appropriate lending desk after use. 

  • A replacement fee may be charged for lost, stolen, or damaged equipment. 

  • Equipment lending is for members only. Drop in users are unable to borrow equipment. 

 

Non-members can rent out sports equipment at Guest Services for an additional fee.

 Fitness Centre Orientations

Sign up for a free 20-minute orientation to the Fitness Centre that shows you how to use our cardio and weight equipment safely and effectively.

 Memberships

 Cancellation Policy
 

If you wish to cancel your annual membership, you must complete a membership cancellation form and return your parking pass to Guest Services.  

  • Memberships with less than four months remaining will not be refunded. Including 1 week, 1 month, and 4 month memberships.  
  • Memberships sold at a discounted rate or affiliated with a promotion will not be refunded. 
  • There is a $50 administration fee to cancel annual memberships that have been paid in full. This will be deducted from your prorated membership refund.
  • Memberships will not be cancelled until all active parking passes have been returned with your  Membership Cancellation Form.  If parking passes cannot be returned, a $50.00 fee per parking pass will be charged at time of cancellation to be paid at Guest Services.  
  • If cancellation is due to a medical issue please contact guestservices@keyano.ca  

The Syncrude Sport & Wellness Centre requires the Membership Cancellation Form prior to the 1st of the month you wish to cancel in.  Cancellations received after the 1st of the month will be processed the following month.  No refunds are provided for continuous memberships.
